Heartful Rootz Community Development Studio

Heartful Rootz helps community-led visions take root. We support grassroots organizers, artists, healers, cultural workers, small businesses, mutual-aid groups, and nonprofit organizations that are creating programs, fundraising campaigns, events, gatherings, and future community spaces.

We understand that meaningful projects often begin with a powerful idea, a need within the community, and a desire to create something lasting. Turning that vision into action can require many moving pieces: planning, fundraising, storytelling, relationships, community feedback, budgets, programming, marketing, and the right space to gather.

Our team offers heart-centered, culturally grounded support to help you move from idea to a clear, workable plan.

We currently create and host projects in rented, partner, outdoor, pop-up, and community-accessible spaces. While Heartful Rootz is actively working toward a permanent land-based home, our services are available now for groups building community wherever they are.

Rooted Clarity Session

Starting at $225

For people with an idea, challenge, or project who need focused support and a clear path forward.

Includes:

  • Pre-session intake form
  • One 90-minute virtual or in-person strategy session
  • Space to reflect on your vision, needs, goals, and obstacles
  • Guidance on priorities, opportunities, and next steps
  • A written action roadmap following the session

This is a great place to begin if you are unsure which service best fits your project.

Seedling Strategy Package

Starting at $550

For early-stage projects, emerging organizations, artists, and community leaders who are ready to shape a vision into a workable plan.

Includes:

  • Two 90-minute strategy sessions

  • Basic budget and resource considerations
  • Community-engagement recommendations

Community Project Blueprint

Starting at $1,500

For groups preparing to launch a program, recurring event series, community offering, fundraiser, or collaborative initiative.

  • Up to four planning sessions
  • Vision, goals, and impact mapping
  • Program, event, or project structure
  • Timeline and implementation plan
  • Budget framework and resource needs
  • Roles, responsibilities, and workflow recommendations

Fundraiser in Bloom

Starting at $1,250

For organizations, collectives, and community groups planning a fundraiser, benefit, market, dinner, gala, campaign launch, or community celebration.

Includes:

  • Fundraising goal and event concept development
  • Basic event budget and income plan
  • Ticket, vendor, donation, sponsor, and in-kind support options
  • Sponsorship-level language or sponsor package outline
  • Community outreach and promotional timeline
  • Donation appeal language for email, flyers, social media, or websites
  • Vendor, volunteer, and partner coordination guidance
  • One event-planning session and a written event roadmap

Venue rental, permits, food, entertainment, vendors, supplies, marketing costs, payment-processing fees, and other direct event expenses are not included.

Community Listening Circle

Starting at $650

For organizations and project leaders who want to hear directly from the people most connected to their work before making a decision, designing a program, developing land, or launching a new offering.

Includes:

  • One planning call
  • Development of guiding questions
  • Facilitation of one community feedback or listening circle, up to two hours
  • Notes on key themes, needs, concerns, and opportunities shared
  • A short recommendations summary

This service can be hosted in a client-provided space, online, outdoors, or at a rented community space. Rental fees and participant support costs are separate.

Program Rooting Package

Starting at $1,500

For organizations developing a new or recurring workshop series, youth cohort, artist program, wellness offering, garden initiative, cultural gathering, or community-care project.

Includes:

  • Program vision and intended impact
  • Participant journey and experience mapping
  • Session, cohort, or event-series outline
  • Suggested staffing and partner roles
  • Budget and pricing guidance
  • Registration, communication, and participant-flow recommendations
  • Feedback and evaluation questions
  • Launch plan and next-steps checklist

Rental & Pop-Up Space Planning

Starting at $750

For people and groups who need help finding, selecting, or preparing a temporary space for their program, workshop, market, fundraiser, meeting, or community event.

Includes:

  • Needs assessment for your gathering or program
  • Rental-space criteria and search guidance
  • Capacity, accessibility, location, setup, and budget considerations
  • Event-flow and room-layout recommendations
  • Vendor, workshop, performance, food, or community-activity considerations
  • A temporary-space activation checklist

Heartful Rootz can help research and recommend rental, partner, outdoor, or pop-up space options; however, clients are responsible for securing contracts, permits, insurance, payments, and final venue approval unless separately contracted for coordination support.

Future Land & Community Space Visioning

Starting at $2,000

For groups dreaming toward land ownership, a garden, food forest, cultural hub, wellness center, community kitchen, maker space, or permanent gathering place.

Includes:

  • Visioning sessions for your future site or space
  • Community needs and program mapping
  • Preliminary space-use concepts
  • Garden, kitchen, gathering, wellness, workshop, and cultural-program considerations
  • Phased development priorities
  • Funding-readiness and partnership recommendations
  • A written vision summary to support future planning, fundraising, or grant development

This is a visioning and strategic-planning service, not architectural, engineering, legal, real-estate, permitting, or construction advice.

Growing Together Monthly Support

Starting at $900 per month

For organizations and projects that need consistent support while building, launching, or strengthening their work.

Includes:

  • Monthly support may include fundraising strategy, marketing planning, event development, program design, outreach support, partnership mapping, operations guidance, and regular accountability sessions.
  • Packages are customized based on your needs and may include approximately 6–12 hours of support each month.

Add-On Services

  • Additional consulting: $75–$100 per hour
  • Community-access consulting rate: $45–$65 per hour, based on availability
  • Additional facilitated circle or workshop: starting at $350
  • Event-day coordination: starting at $500 per day
  • Event setup, breakdown, or vendor support: starting at $150
  • Sponsor deck, outreach kit, or fundraising materials: starting at $350
  • Marketing and social-media content plan: starting at $350
  • Newsletter or email-campaign planning: starting at $250

  • Rental-space research and coordination: quoted by scope

Direct expenses—such as venue rental, travel, printing, supplies, food, interpretation, accessibility support, insurance, permits, contractor fees, payment-processing costs, and advertising—are billed separately or paid directly by the client.

Our Approach

Heartful Rootz believes community development is more than a checklist. It is relationship-building, listening, tending to culture, understanding place, sharing resources, and creating structures that can hold people with care.

We bring experience in community events, wellness and cultural programming, ecological and garden-based projects, handmade product development, visual and spatial design, fundraising, communications, and long-term visioning for community land and gathering spaces.

We work collaboratively. You remain the expert on your people, place, values, and vision. Our role is to help you organize the moving pieces, strengthen your invitation to community, and build a path that feels possible.

Booking and Payment

A 50% deposit is required to reserve project-based services. The remaining balance is due before final materials are delivered, before the final session, or before an event date.

Monthly-support clients are invoiced at the beginning of each month. Additional work outside the agreed scope will be quoted and approved before it begins.

Heartful Rootz offers limited sliding-scale and community-access options for grassroots, community-led, and low-budget projects when capacity allows.

Fundraising support is offered through hourly, project-based, or monthly pricing. We do not accept a percentage of funds raised as payment; project outcomes depend on many factors, and clear fee-based agreements protect both the client and the community. Percentage-based fundraising compensation is widely discouraged in professional fundraising ethics guidance.

We are committed to dismantling systemic injustices and creating balance and equity. Our sliding-scale model offers Black, Indigenous, and People of the Global Majority greater access to our programs while inviting those with more financial means to contribute according to their ability.
